Step by step: Mandatory Attributes
Summary
In order to use Attributes as Custom Fields or as questions on Surveys you need to associate them with Work Types, Site Types or Asset Types.
Work Types
If you would like to use custom fields against jobs depending on the type of work to be carried out you can use work type attributes. By assigning the attributes you will see them on the second tab for the jobs, they can be viewed and modified on the desktop application.
Example: Risk assessments and customer satisfaction tend to be against work types. This will allow the same questions to be available for each job on the same work type. EG all responsive jobs will have a risk assessment at the beginning of the appointment and a customer satisfaction for the tenant to complete before completing the job.
Asset Types
Attributes can be assigned to asset types to ensure the questions are relevant to the asset being installed or serviced. This will allow you to ask one set of questions if the asset is a boiler compared to a cooker.
Example: Gas servicing/ landlord gas safety certificates usually use a mix of work type attributes for the standard questions for each service and asset type questions for the individual assets being serviced. This will allow the survey to ensure all assets are covered by the service and a record of all data being collected.
Site Types
Attributes at a site type level can be used to have particular fields available on the site.
Example: Houses/Flats could have attributes assigned as part of customer satisfaction to ask the tenant for their opinions on the work carried out for their property, Whereas Office buildings or vacant properties are less likely to have questions aimed towards the customer's satisfaction. This can be achieved by using different site types when the site has been created.
User Type Rights
Work Type [WEL] - Access to the Work Types admin page
WorkType – Attributes Tab [WTATT] - Visibility of the Attributes tab on the Work Type page.
Asset Types [AST] - Access to the Asset Type admin page
Site Types [STY] - Access to the Site Type admin page to add/edit/delete Site Types
Attributes [ATT] - Access to the Attribute admin page enabling the ability to add/edit/delete Attributes and Attribute Groups.
Step by step:
Work Type
- Select the Cog icon to open the Admin menu
- Select the Work Type link under the Job section
- Click on the Work Type if you wish to associate the Attributes too.
- Click on the Attributes tab.
5. A list of all available Attributes will appear on the right-hand side.
6. A list of Attributes currently associated with the Work Type will appear on the left.
7. You can expand the groups to see the individual attributes by clicking on the plus icons.
8. Select the Attribute Groups and individual Attributes on the right that you wish to associate. NOTE: you must select all the individual attributes you wish to associate as per the example below. Click the green tick pointing left to add.
9. You can also move attributes from one group on the right to a different group on the left. To do this you need to select the attributes to assign on the right and before using the green arrow select the group they need to be moved to on the left.
10. You can also create a new Group on the left to put the attributes into - the attribute groups on the right do not need to be used to group the attributes when they are associated with Work Types - entirely different groups can be used if required.
11. Click on the green Left Arrow in the middle of the page to associate the selected Attributes.
12. The attributes should now appear on any jobs of that Work Type.
Site Type
- Select the Cog icon to open the Admin menu
- Select the Site Type link under the Site section
- Click the 'Action' button and then 'Manage Attributes'
- Follow step 5 in the 'Work Type' section above.
Asset Type
- Select the Cog icon to open the Admin menu
- Select the Asset Type link under the Asset section
- Click the 'Action' button and then 'Manage Attributes'
- Follow step 5 in the 'Work Type' section above.
Mandatory Attributes
You can make an attribute mandatory which will affect surveys on the mobile and desktop application and custom fields on Sites and Jobs.
- Hover over the attribute you've added on the left-hand side to bring up the toolbox pop-up.
- Click on the Edit pencil icon to bring up the edit screen for that attribute on the right-hand side.
- Enter/select a default value if required.
- Tick the Mandatory box if required.
- Click on the Save icon.
Next Stage - Surveys
Once you have assigned attributes to the Site, Asset or Work Types you can create a survey if required. A survey will allow the attributes to be available on the mobile device. The survey can be populated manually on a job once it has been created or a particular job status.
