Documents Tab

Summary

The Documents tab provides and easy way to quickly search for and view any documents relevant to a job. It also provides a quick and easy way to add new documents to a job.

Tab Overview

Any documents that have been uploaded against a specific job will be visible in the documents tab. The tab displays useful information about the document such as when it was created, who it was uploaded by, what document category it belongs to, what type of file it is, and how big it is. From this page you can also add, modify, and download files.

Uploading Documents

To upload a new document against a job:

  • Search for and select the relevant job and then click on the documents tab
  • Click the Upload button on the right-hand side to bring up the upload menu

  • In the box that appears, drag and drop your file or select a file from your computer

  • Once selected, use the drop-down menu to select the relevant document category for the file

Note: These are currently shown in order of their database IDs, not alphabetical order

  • When you have made all changes you need to make, click on the Upload Files button to start the file upload process. Once complete, it will show Upload Successful

Preview Images

Both Job and Site document tabs will now display thumbnails on images. To view them, hover over the file type icon to show the thumbnail. Thumbnails will only be available for new photos added to jobs after Winter 2020 release.

Downloading Documents

You can download any file from the documents tab. To do this:

  • Search for and select the relevant job and then click on the documents tab
  • Select Download from the Actions menu next to the file you wish to download
  • Each file in the folder will be downloaded with the prefix of the work order ref plus a datetime stamp

Bulk Downloading Documents

You can now download documents from a job in bulk. This will download documents in a .zip file. Select the files you want to download then click on the Download icon.

A bulk downloads page is now available - an icon in the top right of the header will highlight new files ready for download.

Clicking will take the user to the list view. The download link will be green for new not-yet-downloaded files, and grey once it has been downloaded. Once the file has expired the download button will not be visible.

Click on the Download button to download the .zip file. Each file in the folder will have the prefix of the work order ref plus a datetime stamp.

Editing Documents

From this tab, you can modify the title and description of any file uploaded against the job. To do this:

  • Search for and select the relevant job and then click on the documents tab
  • Click the Edit button on the right-hand side to bring up the upload menu

  • In the box that appears, enter the new title and description you want to add and click Update to save your changes

Deleting Documents

If a document is no longer needed, it can be removed from a job from the Documents tab

Warning: Deleting a document is permanent. This cannot be undone.

  • Search for and select the relevant job and then click on the documents tab
  • Click the Edit button on the right-hand side to bring up the upload menu

  • A window will appear confirming the change. Click Delete to remove the document

Generating Job Documents

  • Click on the download icon in the top of the relevant job to show the available document templates

  • Once an option is selected, the file will be downloaded to your computer. You will then be able to view and edit this file in the documents tab
